Split Enrolment

Created by Nicola W, Modified on Tue, 20 Feb at 3:03 PM by Nicola W

To split a single child record into separate enrolments to prevent sharing information between guardians. This situation arises when two parents/guardians prefer to maintain independent enrolments for their child, ensuring privacy and autonomy in their interactions with the service.

  1. Initiate New Application: Have the relevant parent submit a new application for the child.

  2. Add Secondary Identifier: On the existing child record, add a secondary identifier (e.g., the first name of the other parent).

  3. Approve New Application: Approve the new application to create a separate child record. Do not select 'Enrol' on this step; the existing enrolment will be transferred later.

  4. Verify Creation: Search for the child's name to ensure a new record has been created.

  5. Update New Record: Edit the new child record to include a secondary identifier for clear differentiation.

  6. Re-assign Enrolment: Transfer the relevant enrolment to the appropriate new child record.

  7. Final Verification: Confirm that each child record correctly displays its respective enrolment.

  8. Clean Data: Remove any unnecessary data or contacts related to the split.

Verify that both child records accurately reflect the specific enrolments and parent/guardian details, maintaining confidentiality and individual preferences. This process supports the service's commitment to respecting the privacy and needs of separated or independent parents/guardians.
