Enrolment Statuses Explained

  • RECEIV (Received)
    Indicates enrolments without CRN (Customer Reference Number) numbers. Enrolments lacking CRN numbers will be submitted and remain in the RECEIV status until further action is taken.

    If an enrolment is currently marked as "Received" but you have subsequently added a CRN (Customer Reference Number) to the parent's or child's profile after the initial submission, the status will remain as "Received" until you refresh the enrolment to update the details in the CCS system. To perform this update, you should:
    1. -Ensure that the CRNs have been correctly added to the parent's or child's profile.
    2. -Open the enrolment that needs updating.
    3. - Click on the "Edit" button then click on "Save".

      This action will refresh the enrolment information and update the CCS system with the newly added CRNs, changing the enrolment status to Pending if there is an active CCS claim on the CRNs applied.
  • PENDEL (Pending Eligibility)
    This status signifies that the enrolment is not incurring CCS payment.
    Possible reasons for PENDEL status include:

    -The family has not completed an assessment for CCS.
    -The incorrect parent is listed as parent 1 (the CCS claimant needs to be Parent 1).

  • PENDIN (Pending Confirmation)
    This enrolment requires the parent to confirm the enrolment details on their MYGOV account. Confirmation is a critical step for processing the CCS payment. This enrolment will not receive CCS payment until the parent has confirmed the enrolment in MyGov, Services Australia provides a guide for this process.

  • ACTIVE
    This status indicates that the parent has successfully completed the enrolment process with CCS. The enrolment is active, and CCS benefits should be applied accordingly.

  • DISPUT (Disputed Enrolment)
    • This status indicates that the parent has opted to dispute the enrolment instead of confirming it through their MyGov account. A disputed enrolment means that the parent has not agreed to the terms of the enrolment as presented.

      Handling Disputed Enrolments:

      Understanding the Dispute: Initially, it's essential to understand why the parent has disputed the enrolment. Communication with the parent to clarify their concerns and address any misunderstandings is crucial.

      Resending the Enrolment: After resolving any issues or concerns, the enrolment must be sent again to allow the parent another opportunity to confirm the enrolment. It's important to note that the family will not receive CCS benefits until the enrolment is confirmed.

      Key Points Regarding Disputes:

    • Enrolment Start Date vs. Booking Start Date:
    • The enrolment start date represents the date the family applies for care.
      The booking start date marks the commencement of care.
      Sometime parents confuse the booking start date for the enrolment start date as it is the enrolment start date shown on their MyGov notice. 

    • Disputing Casual Session Rate:
    • If a dispute arises from the casual session rate listed on the MyGov enrolment notice, it's important to explain that the highest possible rate is shown to prevent the need for confirmation of every casual session. This rate reflects the highest session code that could be charged, but parents will only be charged for the actual session rate booked

      Undisputing the Enrolment:

      -Select the disputed enrolment and click on "Edit".

    • -Enter a reason for the update, such as "Fix Dispute".
    • -Choose "Overwrite Notice Type 200D" and save.
      This action should change the enrolment status back to PENDIN, allowing the parent to confirm it on MyGov.
